Three levels, one workflow

Choose the signature level each document needs

The eIDAS Regulation distinguishes three types of electronic signature. None is better in the abstract: an internal policy does not need what the sale of a company does. KimoSign lets you choose document by document, without switching tools.

Comparison

Simple, advanced or qualified at a glance

All three have legal effect. What changes is how the signer is identified, what guarantee there is that the document has not been altered, and who has to prove what if someone disputes it.

How to choose the signature type →
Comparison of simple, advanced and qualified electronic signatures under the eIDAS Regulation
Feature Level 1 Simple Level 2 Advanced Level 3 Qualified
Security level Basic High Highest
Signer identification Not required: a click, a checkbox or an email confirmation is enough Mandatory: one-time PIN by text message or email, handwritten stroke on screen Qualified certificate issued by a trust service provider that has verified the signer's identity
Document integrity Does not, on its own, guarantee the document stays unchanged Any later change invalidates the signature Any change invalidates it, backed by a qualified device and certificate
Evidence recorded Date, time, IP address and email Plus authentication method, time stamp and document fingerprint Plus certificate data and a qualified time stamp
Legal value (eIDAS) Valid; its weight as evidence depends on the audit trail Valid, and carries considerable weight if challenged Same legal effect as a handwritten signature throughout the EU
Typical uses Terms of service, forms, internal policies Commercial and employment contracts, NDAs, authorizations High-value transactions, financial agreements, procedures that require a qualified signature
HOW KIMOSIGN SIGNING WORKS STEP 1 You upload the PDF Your own PDF or one from your ERP, with signers and their order. STEP 2 Signer gets it Secure link by email or SMS. Nothing to install, no account. STEP 3 They verify and sign Click, one-time PIN, hand-drawn stroke or qualified certificate. STEP 4 It is sealed Document fingerprint, time stamp and evidence file. Every party gets a signed copy as soon as the last one signs.

How it works

From PDF to signed document, with no paper or couriers

Signers need no account, license or app: they get a link, verify their identity with the method you chose and sign. You can see at any moment who has signed and who is still pending.

  1. 1 You prepare the requestUpload the PDF or let your ERP or Kimobox workflow generate it, then choose the signers, the order and the signature level.
  2. 2 The signer receives itA secure link by email or text message. It opens on a computer, tablet or phone.
  3. 3 They verify and signWith a click, a one-time code, their handwritten stroke or their qualified certificate.
  4. 4 It is sealedDocument fingerprint, time stamp and evidence file. Every party receives their copy.

Evidence

A signature is only as good as its proof

When a signature is challenged, the argument is not about the scribble: it is about who signed, when, from where and on which exact version of the document. KimoSign keeps all of that in an evidence file attached to every signed document.

What the evidence file contains →
Identity
Authentication method used: verified email, PIN by text message or qualified certificate.
Timing
Time stamp on every signature, qualified when the level requires it.
Integrity
Cryptographic fingerprint of the document: change a single comma and verification fails.
Context
IP address, device and, if authorized, the signer's approximate location.
Blockchain
Optionally, the fingerprint is anchored to a public blockchain for independent verification.

For the signer

Signing should not require a manual

The signer's experience decides whether a contract comes back in ten minutes or ten days. That is why KimoSign lets everyone sign with whatever they have to hand.

On a phone

The link opens in the phone's browser. No app, no sign-up.

In person

On a tablet, with the handwritten stroke captured on screen.

On a computer

With the signer's qualified certificate when the document calls for it.

Security

Your documents never leave Europe

Documents and their evidence are stored on servers in the European Union, encrypted and backed up daily, under a data processing agreement your data protection officer can read without alarm.

Frequently asked questions

What people ask us before they start

What is KimoSign?

It is the electronic signature solution from Kimobox. It lets you sign documents at the three levels defined by the eIDAS Regulation (simple, advanced and qualified) and stores with each signature an evidence file that supports it if anyone challenges it.

Are electronic signatures legally binding?

Yes. Article 25(1) of the eIDAS Regulation prevents a signature from being denied legal effect solely because it is electronic. The qualified signature, moreover, has by law the same effect as a handwritten one throughout the European Union.

Which type of signature do I need?

It depends on the document. To accept terms or an internal policy, a simple signature is enough; for contracts with customers, suppliers or employees the usual choice is advanced; and for high-value transactions or procedures that require a qualified signature, qualified.

Does the signer have to install anything or register?

No. They receive a link by email or text message and sign from the browser on their phone, tablet or computer. Only a qualified signature requires their own qualified certificate.

Can several people sign the same document?

Yes, and in the order you set. Each signer receives the document when it is their turn, the system sends reminders to anyone running late and, once the last person signs, everyone gets the sealed copy.

Where are signed documents stored?

On servers in the European Union, encrypted in transit and at rest, with daily backups. The service is provided under a data processing agreement in line with Article 28 of the GDPR.

Does it integrate with our ERP?

Yes. Through Kimobox Connector it works with Sage 200, Navision, SAP, A3 and Odoo, and with any other system via REST API: the document leaves your system and comes back signed without manual handling.

How much does it cost?

For Kimobox customers, electronic signature is included at no extra cost. For everyone else, we put together a proposal based on document volume and the signature levels you will use.
